Administrative Assistant

SUMMARY:

The Administrative Assistant will be responsible for all administrative functions such as: answering phone calls, resolving customer issues, scheduling appointments, tracking inventory of all supplies, handling all new employee paperwork and other assigned duties. The ideal candidate will be experienced in handling a wide range of administrative support tasks. This individual must be able to function effectively in a variety of roles within a dynamic environment under minimal supervision; flexibility is a key component for this position. Working from home after hours, may occasionally be required due to high demand and deadlines. Capable of operating independently with very little guidance.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Provides daily support by monitoring all incoming calls
  • Schedules appointments
  • Handles all customer issues
  • Takes orders from clients and distributes them to the correct technician
  • Monitors inventory of all supplies (office and technician supplies)
  • Places orders for supplies
  • Assists with creative and technical writing
  • Works independently to execute special projects with creative initiative
  • Handles sensitive and confidential information with discretion
  • Handles all new employee paperwork and files
  • Assist with marketing and advertising
  • Other administrative duties, as needed by Chief of Operations

EDUCATION/REQUIREMENTS:

  • High school diploma (required)
  • College or university related coursework
  • Two years of administrative experience in a business setting (preferred)

TECHNOLOGY SKILLS:

Proficient with MacOS and Windows operating systems. Intermediate knowledge of Windows based office software including but not limited to Microsoft Word, Outlook, PowerPoint and Excel. CRM softwares, Scheduling softwares, Intermediate email functions, Calendar synchronization. Advanced knowledge of social media platforms.
